General Summary
The Tucson Survey Administrative Associate focuses on operational reporting, data management, project administration, and departmental coordination. The role provides critical support to operational leaders by maintaining accurate business data and ensuring administrative processes are executed effectively.
Primary Duties and Responsibilities
- Greet visitors, answer and direct phone calls, and respond to emails in a professional manner.
- Maintain office supplies inventory, anticipate needs, and place orders as necessary.
- Assist in organizing meetings, conferences, and other office events.
- Prepare and edit correspondence, reports, and presentations.
- Manage and maintain documents, both physical and electronic, ensuring accuracy and confidentiality.
- Assist in preparing project proposals, contracts, and other engineering documents.
- Prepares invoices and assists in resolving issues or answering questions.
- Maintains multiple third-party client invoicing portals.
- Track AR (Accounts Receivable) and make phone calls to check status of payments.
- Post and reconcile payments (cash/checks/credit cards), ensuring accurate and timely record keeping.
- Provide administrative support to engineers and project managers, including scheduling appointments, making travel arrangements, and managing calendars.
- Coordinate with various departments to gather and disseminate information.
- Assist in generating reports and summaries as required.
- Coordinate performance review documentation
- Support system administration and technology deployment
Job Qualifications

- High school diploma or equivalent: associate's degree or higher preferred
- Proven experience as an administrative assistant or in a related role.
- Proficiency in MS Office Suite (Word, Excel, Power Point, Outlook) and office equipment
- Strong organizational and multitasking skills with keen attention to detail.
- Excellent communication skills, both written and verbal
- Ability to work effectively in a team and independently.
- Prior experience in a civil engineering or construction-related field a plus.
- 1–4 years of administrative, accounting, operations, or project support experience
- Strong Excel and data-analysis skills
- Detail-oriented with excellent follow-through
- Ability to manage multiple responsibilities
- Desire to work closely with department leadership
