Position Summary

In close collaboration with the Director of Operations, other Co-Directors, and Financial Management Consultants, the Bookkeeper manages financial and accounting tasks, including bookkeeping, invoicing, cash flow monitoring, and financial and regulatory reporting. They report on financial matters to the Co-Directors, Finance Committee, and Board of Directors, and prepare records and explanations for the annual review. Additionally, the Bookkeeper manages the Human Resources function of payroll administration.

RESPONSIBILITIES
Finance and Accounting
Daily activities of finance and bookkeeping, including: Prepare financial reports, including: Financial updates for Co-Directors as needed. Regular cash flow projections for Co-Directors. Monthly Profit & Loss, Budget versus Actual, and Balance Sheet Reports for Board of Directors meeting. Other reports as requested or needed. Management of accounts payable/receivable: Pay bills and credit cards and record in QuickBooks. Issue program cash and reconcile with responsible staff. Keep track of and pay honorariums owed to community partners. Create, track, and follow-up with all invoices to ensure payment in a timely manner, including final delegation invoices to be sent at least 45 days in advance of arrival. Receive and prepare weekly deposits of all payments and donations. Further details of accounting responsibilities include: Manage basic accounting responsibilities related to our fiscal sponsorship of other organizations, including regular financial reports, categorization in QuickBooks, maintaining records, issuing payments, and prompt communication. Manage restricted grant finances, including: Insert new restricted grant budgets into QuickBooks. Categorize all grant expenses in QuickBooks.

Create regular reports for each grant as needed as well as ensuring the grants are being tracked appropriately within regular Finance reports.
Provide any requested documentation to funders.
Work with Co-Directors to identify and address risk and financial management issues.
Participate as a member of the Finance Committee if requested.
Set up and utilize additional software and systems to streamline effective accounting (such as bill.com).
Expense tracking as it relates to the hospitality program for asylum-seeking families; Ensure compliance with Finance Policies.
Human Resources Manage payroll, including: Collect timesheets or leave-time updates from staff. Compile & process payroll information through payroll vendor bi-weekly. Distribute pay stubs. Be a point person for staff's payroll updates and questions. Maintain personnel files and documents for all staff, contractors, and volunteers. For new employees: Conduct office orientation in coordination with Co-Directors. Ensure all necessary forms are submitted; Issue keys, credit cards, insurance applications, etc. Set up new personnel files. For departing employees: Ensure any final paperwork is completed. Retrieve keys, credit cards, cancel insurance, etc. Notify insurance carriers (vehicle, medical, dental, etc.) about new/departing staff and volunteers.
Collect documents necessary for vehicle use from staff, contractors, and volunteers according to the vehicle use policy.
Administration
Manage HR and administration files, including following policy for storage or disposal of documents at fiscal year-end.
Maintain administration files related to vendors, financing, and accounting on both the Drive and paper.
Send reminders to staff about: vacation and holiday schedules, leave reports, meetings, upcoming events, deadlines, etc.
Other
Participate in staff meetings either biweekly or monthly, and occasional department meetings.
Other duties as required.

Demonstrated experience or education in finance, accounting, or related field, AA or BA degree preferred.
Experience with QuickBooks or similar accounting software.
Demonstrated knowledge of Excel, Word, and Google Suite or similar apps.
Experience in preparing and managing budgets.
Preferred experience with non-profit accounting specifically.
Excellent oral and written communication skills.
Bilingual (Spanish/English) speaker strongly preferred.
Experience with and passion for social justice movements, migrant justice, anti-racism, and/or lived experience related to border issues preferred.
